As the University of Iowa moves forward with the Board of Regents’ TIER (Transparent Inclusive Efficiency Review) project, the UI TIER leadership team is committed to keeping the campus informed on the latest developments in connection with the initiative.
The team will be sharing updates in Iowa Now on the 1st and 15th of each month. Information on the initiative can also be found on the UI TIER website.
Here are the latest developments on the UI’s academic and business cases:
University Shared Services:
Recently, University Shared Services (USS) came to the rescue of a department in Finance & Operations, due to an unforeseen leave of absence in their financial department. The cross-training and experience of the current shared services staff enable Parking and Transportation Services (P&T) to have a firsthand experience of how shared services will be able to provide support in the near future. University Shared Services staff member Weston Marling, currently assigned to support the College of Dentistry, met with Parking and Transportation last Thursday, Sept. 24, and helped the staff resolve some backup work with payments and procurement card reconciliations. This USS support will allow the department to have additional time to hire a temporary staff member and continue to handle daily operations. In addition, the experience was beneficial in showing the flexibility USS hopes to provide to campus with future implementations.
Project planning continues with VPR for the design and implement University Shared Services, with the goal to complete implementation by November.
HR-01 Revise Distributed HR Delivery Model
Division of Vice President of Research and Economic Development and the Oakdale Campus
Weekly meetings continue for the teams from Finance Shared Services, HR, and VPRED. Further analysis of the HR and Finance transactional work is being conducted.
This first integrated project has provided a variety of unique issues to resolve. We are focused on thoughtfully addressing them in order to provide a template for future integrated projects.
The team completed the information gathering and has developed recommendations that will be shared with the Senior HR Leader on Friday, Oct. 2, 2015. Following this meeting, the finalized recommendations will be presented to the University Librarian.
College of Law
The HR redesign team will meet with the implementation team in the College of Law on Tuesday, Oct. 6, 2015, to outline the steps involved in the project. Information gathering from employees will begin once this meeting has occurred.
Division of ITS
The HR team will meet with the implementation team on Oct. 19, 2015. The collection of employee input will follow this meeting.
Town Hall for IT professionals set for Oct. 15
The next Town Hall for IT Professionals is scheduled for 1 to 2:30 p.m. Thursday, Oct. 15, in 240 Art Building West. Associate Vice President and Chief Information Officer Steve Fleagle, the OneIT Program Office, and project team representatives will be on hand to share updates and to address questions/comments. Campus IT staff are encouraged to attend.
Topics covered at the Town Hall for IT professionals will include:
End User Support Project Plans
- Building upon the charter, the End User Support project team has developed three more detailed sub-project plans, posted at http://oneit.uiowa.edu/projects/end-user-support.
- In essence, the plans involve moving to a centralized model for desktop support, device management, and help desk services, but not for specialized consulting. Key points regarding the plans are available on the OneIT website.
- If you have thoughts on the plans, you can contact the project team through the website, or reach out to the OneIT Program Office. A series of OneIT Listening Posts for the broader campus community is also being scheduled.
Fleagle is meeting with collegiate/administrative IT leaders and their supervisors to advance a key OneIT objective, which is to create a unified IT organizational structure for campus to improve coordination and collaboration across the IT community. The senior IT leader will have a dual reporting relationship to the CIO, and discussions are occurring about how to affiliate IT staff who aren’t currently reporting to an IT organization.
Joint regent procurement teams working with Huron have crafted a request for proposal for office-related supplies. A core list of 1,500 items based off of FY15 purchases by all three institutions will be requested for pricing. In addition, a separate list of more than 900 toners will be priced. The RFP was issued Oct. 1, with the goal of awarding and implementing a new contract by January 2016.
A kickoff meeting for PCs and Laptops was held on Sept. 15, 2015. IT and Procurement professionals from Iowa State University, University of Northern Iowa, and the University of Iowa (including UIHC IT) attended and discussed next steps. FY15 data has been requested and received by Dell and CDW.
The prime food vendor category kickoff meeting will be held at the University of Northern Iowa on Oct. 8.
